Fancy Fonts in Word? Learn How to Embed Them

Here’s how you can ensure that everyone can see the fancy fonts you used in your Word document.

For many people, the most exciting part of creating a document is choosing the font that they want to use. There are so many different fonts out there and they all have their own special style.  The font you choose will go a long way in conveying the feeling that you want to get across to your audience. You could be going for formal, fancy or fun and zany. Luckily, Microsoft Word and Google Docs offer a lot of choice. The problem is that the fonts you use in your document might not be the same as those used by others. The fancy font that you so painstakingly selected may not be seen by anyone else, because they don't have it installed on their computer. This article will show you how to embed a font into your Word document so that everyone can see it too!

How to embed fonts in Microsoft Word

Once your document is complete and you’ve chosen all the fonts that you want to use, just follow these steps to save the document with the fonts embedded.

  1. Click on the File tab and then click Options on the bottom left of the window.
  2. Click the Save tab In the left column of the Word Options window that appears
  3. Down the bottom, under Preserve fidelity when sharing this presentation, select the Embed fonts in the file check box.
  4. If you are not going to edit the file again, you can also select Embed only the characters used in the presentation, as this will reduce the file size. 
NOTE: If you are using the file in MergeOS and the font is used for any placeholder variables, then you should not check this option. However, if the font is only used for static text that will never change, go ahead and check it.

Embedding fonts in MS Word

When should you embed fonts?

If you’re using the file in MergeOS and your font is not in the list of supported fonts, then you should embed the font. Otherwise, it will probably be replaced with a similar font when it’s dynamically generated. 

If you’re not using the file in MergeOS, and just sending it to another person, it all depends on where you got the font from, and what version of Word they are using. If you used one of the cloud fonts in Word, then modern versions (Office 365, 2019 etc) of Word will download that font and it probably won’t need to be embedded. Earlier versions of Word might not have access to that font, so you should probably embed it. 


Is embedding fonts not working?

If you find that embedding your font is not working, then the creator of the font may have disabled embedding. You can check this on your computer by going to the Control Panel and clicking on or searching for Fonts. Click on the font, and in the bottom panel it will say if it can be embedded:
